Summary
The On-Call Wedding Assistant supports the Wedding Coordinator successful planning and execution of weddings held at Fourth Presbyterian Church. This role involves coordinating with couples, clergy, staff, and vendors to help create a meaningful and organized experience. They are responsible for cultivating relations and conducting all duties in the spirit of the church’s continuing mission.

Schedule
This is a Limited Part-time position, and hours may vary and requires availability on both Friday and Saturday afternoons and evenings, with other days and times possible. This position is ideal for candidates looking for flexible hours.
Job Responsibilities
Provides on-site assistance to the Wedding Coordinator for wedding rehearsals and on the day of the wedding including:
• Prepare rooms and set up necessary materials, furnishings, and equipment prior to the arrival of the wedding party and guests.
• Coordinate with facilities or housing staff regarding setup needs, equipment functionality, lighting requirements, and general venue readiness.
• Welcome and communicate with service providers such as florists, photographers, videographers, and live entertainment personnel; assist with their orientation and ensure smooth execution of their roles.
• Greet, guide, and support members of the wedding party—including the bride, groom, attendants, and family members—as well as guests, ensuring a hospitable and organized experience.
• Provide assistance to both Fourth Church clergy and guest officiants, as well as to in- house and visiting musicians, ensuring they have the necessary resources and information.
• Facilitate the smooth movement of participants and guests between designated church spaces, in accordance with the planned wedding schedule.
• Assist in organizing and guiding processional and recessional elements, including honor seating, bridal entrances, and staged exits, in alignment with the approved ceremony plan.
• Monitor entrances to sanctuary or chapels to ensure that the ceremony is not interrupted inappropriately.
• Troubleshoot any last-minute issues calmly and professionally
• Facilitating post-ceremony activities, including photo sessions, and departure of group in keeping with the wedding plan and timetable.
• Tidying rooms and retrieving and returning equipment to storage locations following the final ceremony of the day.
• Perform wedding-related administrative duties as may be assigned by the Wedding Coordinator.
• Other duties as assigned.
Qualifications and Experience
• Exceptional organizational, interpersonal, and verbal communication skills
• Demonstrated reliability, punctuality, and ability to follow through on responsibilities
• A sincere interest in supporting church wedding ministry; experience in event coordination or
planning highly preferred.
• Flexible, collaborative, and able to work effectively as part of a team
• Comfort and professionalism working in a faith-based environment.
• High school diploma or equivalent required; associate or bachelor’s degree in event management, hospitality, communications, or a related field preferred
• Previous experience assisting with weddings, special events, or church ministry strongly preferred
• Experience working with diverse groups, including clergy, musicians, vendors, and the public
• Training or coursework in event planning, customer service, or hospitality is beneficial

• Physical stamina and endurance for extended shifts (8–10 hours), including standing and walking for prolonged periods
• Must be able to lift 15-25 pounds at times.
• Must be able to access and navigate each department at the organization’s facilities.
• If the current health conditions dictate, one must be able to participate in online virtual communications, including email, video conferencing, and other online tools used to facilitate virtual office culture and work sharing.

• This role routinely uses standard office equipment such as computers, phones, and scanners. An employee is regularly required to communicate effectively via computer, via phone, and in person.
